Brooks Branding is a a brand and website design business who specializes in hand-drawn details for clients. When Brooks Branding hired us for their Dubsado setup, they were booking out month after month. The only problem was that the busier they got, the less organized and together everything felt. With a business in high-demand and a small but growing team, they needed a streamlined system that worked for their unique process.
Goal for the project
The goal for this Dubsado setup was clear: build a sales and onboarding system that gave Pateley complete confidence in how she shows up for potential clients. She wanted to reclaim hours in her process without sacrificing the professionalism, polish, and high-quality experience her studio is known for.
We needed a system that felt seamless, efficient, and—most importantly—truly scalable as her inquiries continued to grow.
The Experience
This project centered on transforming a disjointed, overly manual sales process into a streamlined, branded, and fully automated experience. Together we:
- Audited every corner of her systems to identify gaps, repetitive manual steps, and off-brand touchpoints
- Rebuilt her sales journey from inquiry → discovery call → proposal → contract → invoice
- Created eight fully custom, beautifully branded forms, questionnaires, and contracts that finally matched the quality of her work
- Developed 52 on-brand, strategically paced emails to support her workflows and client communication
- Built 87 automations that removed manual bottlenecks, eliminated task switching, and reduced reliance on third-party tools
- Consolidated her processes so everything lived under one roof instead of being scattered across multiple subscriptions
- Ensured her proposals were no longer being edited by hand — instead, clients now receive a polished, seamless, one-click experience
- Integrated clearer internal organization so she could track clients, timelines, and follow-up tasks without relying on memory
The entire system was designed to remove mental load, restore clarity, and give her a sales backend that finally matched the high-end creative work she delivers.
